SubmIQ ('we,' 'us,' or 'our') provides resume formatting and tailoring software for staffing agency recruiters. This Privacy Policy explains what information we collect, how we use it, and your choices.
Information We Collect
Account information
When you create a SubmIQ account, we collect your name, email address, and agency details. This information is stored using Supabase, our database and authentication provider.
Resume and job order content
SubmIQ processes resume files (PDF, .doc, .docx) and job descriptions that you upload in order to provide formatting and tailoring services. Resume text is sent to Anthropic's Claude API for processing. We do not use your resume content to train AI models, and Anthropic does not retain this content for training purposes under our usage terms with them.
Letterhead and company branding
If you upload a letterhead template, it's stored securely via Supabase storage and used only to generate formatted resume exports for your agency.
Payment information
Billing is handled by Stripe. We do not store your credit card number or full payment details — Stripe processes and stores this information directly.
Communications
If you contact support, we may use Resend to send and receive emails related to your account or inquiry.
Analytics and Error Monitoring
We use Vercel Analytics to collect aggregate, anonymized page-view data to understand how SubmIQ is used and improve the product. We use Sentry for error monitoring and debugging. When an error occurs, Sentry may collect your IP address and account-identifying information (such as your user ID) to help us diagnose and fix issues. Sentry also records a small sample of user sessions (10% of sessions, and all sessions where an error occurs) as session replays to help us understand and fix bugs; these replays mask all on-screen text and form inputs and block all images and media by default, so resume content and other sensitive on-screen information is not visible in replays.
How We Use Your Information
We use the information we collect to provide and improve SubmIQ's services, process payments, communicate with you about your account, respond to support requests, and maintain the security and reliability of the platform.
Data Sharing
We do not sell your personal information. We share information only with the service providers described above (Supabase, Stripe, Anthropic, Resend, Vercel, Sentry) as necessary to operate SubmIQ, and only to the extent needed for them to perform their function.
Data Retention
We retain your account and resume data for as long as your account is active. If you'd like your data deleted, contact us at support@submiq.com.
Your Choices
You can update your account information at any time from your account settings. You can request access to, correction of, or deletion of your personal data by contacting support@submiq.com.
Changes to This Policy
We may update this Privacy Policy from time to time. We'll update the 'Last updated' date above when we do.
